Advanced Workflow Builder + Overview Dashboard

Custom HTML/CSS/JAVASCRIPT

Stop Guessing Why Your Workflows Aren't Working - The Advanced Workflow Builder is Here

If you've ever spent hours trying to figure out why a workflow didn't fire, or why contacts aren't enrolling when they should, this update is for you.

We've released an Advanced Workflow Builder with a comprehensive overview dashboard that gives you complete visibility into your automation performance. Instead of blindly testing and hoping, you can now see exactly what's happening with every workflow - attempted enrollments, matched triggers, errors, and more.

This feature is currently available in Labs for beta testing. Here's what it does and why it matters.

What's New: Complete Workflow Visibility

Overview Dashboard - Your Automation Command Center

The new overview dashboard gives you a bird's-eye view of all your workflows:

  • Total workflows - How many automations you've built

  • Published workflows - Which ones are currently active

  • Enrolled workflows - How many have active contacts moving through them

  • Attempted enrollments - Total number of times workflows tried to enroll contacts

  • Matched enrollments - Successful enrollments where triggers fired correctly

  • Unmatched enrollments - Failed enrollments where triggers didn't match (this is the critical metric for troubleshooting)

This single view eliminates the guesswork. You can instantly see if workflows are performing as expected or if there are systemic issues.

Diagnostic Filtering - Find Problems Fast

The dashboard includes powerful filtering capabilities:

  • Filter by workflow trigger type - Isolate issues with form submissions, tag additions, opportunity stage changes, etc.

  • Filter by specific form - If a particular form isn't triggering workflows, you'll see it immediately

  • Error summary view - See all workflow errors in one place with details on what's breaking

This is where the Advanced Workflow Builder earns its name. Instead of recreating workflows from scratch when something breaks, you can diagnose the exact point of failure.

Real-Time Performance Monitoring

For each workflow, you can now see:

  • How many contacts are entering - Track enrollment volume over time

  • What triggers are firing - Confirm that your trigger conditions are working

  • Where enrollments are failing - Identify unmatched conditions before they cause problems

This is especially valuable during campaign launches or when you've made recent changes to forms or tags.

Error Tracking and Resolution

The error summary section shows you:

  • Which workflows have errors - No more surprises when automations silently fail

  • What's causing the errors - Specific details on trigger mismatches or configuration issues

  • How many enrollments are affected - Understand the scope of the problem

Armed with this information, you can fix issues in minutes instead of hours.

Why This Matters

Here's the problem with the old workflow system: when something didn't work, you had to:

  1. Manually test workflows by triggering conditions

  2. Check individual contact records to see if they enrolled

  3. Review workflow history logs one contact at a time

  4. Guess at what might be misconfigured

It was slow, frustrating, and error-prone.

The Advanced Workflow Builder flips this model. Now you start with data-driven diagnostics:

  • See unmatched enrollments immediately

  • Filter to the exact trigger causing problems

  • Review the error message and fix the root cause

  • Confirm the fix by watching matched enrollments increase

This saves hours of troubleshooting time and prevents contacts from slipping through the cracks.

How to Enable It Now (Labs Access)

Step-by-step:

  1. Navigate to Settings in your CRM

  2. Select Labs from the menu

  3. Find Advanced Workflow Builder

  4. Toggle the switch to ON

  5. Go to Automations to access the Overview Dashboard

Once enabled, you'll see a new "Overview Dashboard" option in your Automations section.

Getting Started with the Dashboard

Here's how to put the Overview Dashboard to work:

For troubleshooting:

  1. Open the Overview Dashboard

  2. Check Unmatched Enrollments - if this number is high, you have trigger issues

  3. Use filters to narrow down which workflow or form is causing problems

  4. Review the error summary for specific details

  5. Fix the trigger condition or form field causing the mismatch

  6. Monitor Matched Enrollments to confirm the fix

For performance monitoring:

  1. Review Enrolled Workflows to see which automations are actively running

  2. Check Attempted Enrollments vs. Matched Enrollments to gauge trigger accuracy

  3. Filter by trigger type to see which automation patterns are most effective

  4. Use this data to optimize your workflow strategy

Real-World Example: Troubleshooting a Form Submission Workflow

Let's say you have a workflow that should fire when someone submits a contact form, but leads aren't being followed up with.

Without the Advanced Workflow Builder:

  • You'd manually submit the form to test

  • Check if the contact enrolled in the workflow

  • Review workflow settings to guess what's wrong

  • Maybe rebuild the entire workflow in frustration

With the Advanced Workflow Builder:

  • Open the Overview Dashboard

  • See high Unmatched Enrollments

  • Filter by the specific form

  • Error summary shows: "Tag 'New Lead' not found on contact"

  • You realize the form isn't adding the required tag

  • Fix the form settings

  • Matched Enrollments immediately start increasing

Problem identified and solved in minutes.

What If You Find Issues?

Since this is a beta feature in Labs, report any bugs or unexpected behavior through our support channel. Include:

  1. Screenshots of the dashboard metrics

  2. Which workflow is causing the issue

  3. What you expected to see vs. what you're seeing

Your feedback during beta testing helps us refine this tool before it rolls out to everyone.

What's Next?

The Advanced Workflow Builder is part of our ongoing effort to give you more control and visibility into your automations. As this feature matures, we'll be adding:

  • More granular filtering options

  • Workflow performance trends over time

  • Automated alerts when workflows have sustained errors

If you have ideas for additional metrics or features that would help you manage workflows better, let us know.
